These Terms & Conditions (“Agreement”) apply to all attendees, speakers, sponsors, exhibitors, partners and participants (“you”) attending or participating in HealthSpan Festival 2027 (“the Event”), organised by HealthSpan Festival (“we”, “our”, or “us”).

By registering for, or attending, the Event, you agree to comply with these Terms & Conditions. If you are registering on behalf of another individual, you confirm that the attendee has been informed of and agrees to this Agreement.

1. Registration & Admission

Your registration entitles you to access the Event according to the ticket type purchased.

All other costs associated with attendance, including but not limited to travel, accommodation, insurance and visas, are your sole responsibility.

We reserve the right to refuse admission or revoke access to any attendee, without refund, where behaviour is deemed inappropriate, unsafe, disruptive, abusive, discriminatory or inconsistent with the values of the Event.

A valid form of photo identification may be required upon entry.

Event badges must be worn visibly at all times within Event areas and may not be shared, transferred, sold or exchanged once issued.

2. Ticket Transfers, Cancellations & Refunds

If you are unable to attend, you may transfer your ticket to another person at no additional charge by providing written notice to the Event organisers prior to the Event.

Cancellation requests must be submitted in writing.

Refunds will be issued according to the following schedule:

Cancellations made more than 6 weeks before the Event: 75% refund

Cancellations made between 3 and 6 weeks before the Event: 50% refund

Cancellations made within 3 weeks of the Event: no refund

Where a ticket has been purchased using a promotional code, voucher or credit, no refund shall be payable for the discounted or credited portion.

Once an attendee badge has been issued onsite, it cannot be substituted, reassigned or reissued.

HealthSpan Festival reserves the right to refuse any transfer request submitted after the stated deadline.

3. Event Changes & Cancellation

HealthSpan Festival reserves the right to change any aspect of the Event at any time, including but not limited to:

• Programme content

• Speakers

• Moderators

• Schedules

• Venue

• Themes

• Event format

In the event that the Event is postponed, relocated, converted to a hybrid or digital format, shortened or cancelled due to circumstances beyond our reasonable control — including but not limited to natural disasters, extreme weather, venue unavailability, public health emergencies, governmental restrictions, strikes, terrorism, civil unrest or force majeure events — HealthSpan Festival shall not be liable for any indirect losses, travel expenses, accommodation costs or other consequential damages incurred by attendees.

If the Event is cancelled entirely by HealthSpan Festival and not rescheduled, liability shall be limited to a refund of the registration fee actually paid.

4. Photography, Filming & Media Consent

By attending the Event, you acknowledge and agree that photography, audio recording and video recording may take place.

You grant HealthSpan Festival and its partners the unrestricted right to use, reproduce, publish, broadcast or distribute images, video and audio recordings containing your likeness, voice or appearance in any media worldwide, in perpetuity, for promotional, marketing, editorial or commercial purposes without compensation or further approval.

Unauthorised professional photography, filming, livestreaming or audio recording of Event content is prohibited unless prior written consent has been obtained from the organisers.

5. Health, Wellness & Medical Disclaimer

HealthSpan Festival is an educational and informational event focused on healthy aging, wellness, longevity and related topics.

Content presented by speakers, sponsors, exhibitors or partners is provided for general informational purposes only and does not constitute medical advice, diagnosis or treatment.

You should always consult a qualified healthcare professional before making changes to your diet, supplementation, medication, exercise, treatment or lifestyle routines.

Participation in wellness activities, fitness sessions, demonstrations, biohacking experiences or other physical activities is voluntary and undertaken entirely at your own risk.

HealthSpan Festival accepts no responsibility for injury, illness, adverse outcomes or damages arising from participation in Event activities or reliance on Event content.

6. Privacy & Data Protection

We take your privacy seriously and will process your personal information in accordance with applicable data protection laws and our Privacy Policy.

By registering for the Event, you agree that your information may be used:

• To administer your attendance

• To communicate important Event updates

• To provide access to Event platforms or networking tools

• To inform you about future HealthSpan Festival events, products or services that may be of interest to you

You may unsubscribe from marketing communications at any time.

Where networking applications, mobile apps or digital platforms are used, certain profile information such as your name, company and job title may be visible to other attendees.

If you choose to interact with exhibitors, sponsors or partners — including by scanning your badge or sharing contact details — you consent to your information being shared directly with those parties in accordance with applicable data protection laws.

7. Intellectual Property

All intellectual property rights relating to the Event, including branding, logos, materials, presentations, content and recordings, remain the property of HealthSpan Festival or the relevant content owners, speakers or partners.

You may not reproduce, distribute, modify, record, transmit or commercially exploit any Event content without prior written consent.

Nothing in these Terms grants you any licence or ownership rights in any intellectual property associated with the Event.

8. Attendee Conduct

HealthSpan Festival is committed to creating a safe, inclusive and respectful environment for all participants.

Harassment, intimidation, discrimination, threatening behaviour or disruption of sessions, exhibitors or attendees will not be tolerated.

Any attendee engaging in prohibited conduct may be removed from the Event without refund and may be prohibited from attending future events.

9. Fees & Payments

All registration fees must be paid in full prior to attendance.

If payment is declined, reversed or unpaid for any reason, HealthSpan Festival reserves the right to cancel your registration without liability.

All fees are exclusive of applicable taxes unless otherwise stated.

Discount codes, promotional offers or early-bird pricing cannot be applied retrospectively after registration has been completed.

10. Limitation of Liability

To the fullest extent permitted by law, HealthSpan Festival excludes all liability for any direct, indirect, incidental, consequential or special loss or damage arising in connection with the Event.

HealthSpan Festival provides the Event and all related content on an “as is” basis and makes no warranties regarding accuracy, completeness or suitability of information presented.

Our total aggregate liability arising out of or relating to the Event or these Terms shall not exceed the total amount paid by you for your Event registration.

Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud or any liability which cannot legally be excluded.

11. General

These Terms & Conditions constitute the entire agreement between you and HealthSpan Festival relating to the Event and supersede all prior communications or agreements.

If any provision of these Terms is found to be unenforceable, the remaining provisions shall remain in full force and effect.

Failure by HealthSpan Festival to enforce any provision shall not constitute a waiver of rights.

These Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

We may update these Terms & Conditions from time to time.
